In practice

What this template helps you manage

  • Create a centralized requirements matrix with one row for each program requirement.
  • Connect requirements to mapped courses or learning activities so coverage is easier to review.
  • Assign priorities, owners, effective dates, and next review dates for operational accountability.
  • Link multiple evidence records to requirements through unique Requirement IDs.

How to use it

How to use the workbook

Begin on the Instructions sheet and review the controlled lists used by the workbook's dropdowns. Replace or delete the fictional examples before active use, and do not remove controlled-list values that are still referenced in the workbook. On the Requirements Matrix, enter one requirement per row and use a unique ID beginning with PR-. Complete the program, category, requirement statement, source or reference, required status, priority, owner, dates, mapped course or activity, evidence requirement, and notes as applicable. Next, add one row per supporting item in the Evidence Log, using a unique ID beginning with EV- and selecting the related Requirement ID. Record the evidence title, type, location, received date, review status, reviewer, review date, expiration date, and notes. Preserve the calculated columns: the workbook determines whether evidence is current, summarizes evidence status, assigns an overall requirement status, calculates days to review, and recommends an action. Finally, use the Dashboard Program View selector to review All Programs or one listed program and monitor readiness, status counts, upcoming reviews, pending evidence reviews, and current alerts.

Track Program Requirements and Course Mappings

The Program Requirements Matrix provides a structured register for documenting what each learning program must address. Each requirement can be assigned to a program and category, supported by a requirement statement and source, prioritized, assigned to an owner, and mapped to a specific course or activity. Effective and next review dates support recurring oversight. User-entry fields are visually described in the workbook as editable, while Evidence Status, Overall Status, Days to Review, and Action Needed are calculated outputs.

Connect Requirements to Current Approved Evidence

The Evidence Log links supporting records to the matrix through Requirement IDs. Users can document each evidence item's title, type, location, receipt date, review status, reviewer, review date, expiration date, and notes. The Current? formula returns Yes only for Approved evidence when the expiration date is blank, not recognized as a date, or has not passed. The matrix then classifies required evidence as Complete when at least one linked record is both Approved and Current, Pending Review when a linked submission awaits review, or Missing when neither condition is met.

Calculate Requirement Status and Next Actions

Overall Status follows the workbook's defined sequence. A requirement marked as not required is Not Applicable. A required item without a mapped course or activity is a Gap, while a required item with a past review date is Review Overdue. Evidence awaiting review can produce In Progress, and required evidence that is not complete can produce Gap. Otherwise, the requirement is Met. The Action Needed formula can prompt users to assign an owner, map a course or activity, set a review date, complete an overdue review, review submitted evidence, or add current approved evidence.

Monitor Program Readiness from the Dashboard

The Dashboard summarizes the matrix and evidence log as of the current date. Its Program View selector supports All Programs or an individual program included in the controlled list. Metrics show required requirements, Met, Gap, In Progress, Review Overdue, reviews due within 30 days, pending evidence reviews, and Readiness Rate. Current Alerts also surface expired approved evidence, requirements without owners, requirements without review dates, and duplicate Requirement IDs. A chart displays the counts for Met, Gap, In Progress, and Review Overdue.
