How to use it
How to use the workbook
Start on the Dashboard by setting the as-of date, inactivity threshold, and due-soon window. The prepared values are September 6, 2026, 30 days, and 14 days, respectively; the inactivity threshold accepts whole numbers from 1 to 365, and the due-soon window accepts whole numbers from 1 to 90. Next, open Change Requests and replace the illustrative sample information as appropriate. Add each curriculum request on the next available prepared row and complete the expected fields: request ID, title, academic unit, change type, submitted date, request owner, status, and last activity date. Use the provided drop-down lists and enter dates in month, day, and year format. For an open request requiring committee review, enter a target committee date; for an approved or implemented request, enter an approval date. Keep the status, last activity date, next action, and next-action due date current as work progresses. Finally, review the calculated workflow alerts and data-quality messages before relying on or sharing the dashboard summaries.

Track Curriculum Change Requests in One Excel Table
The Change Requests sheet provides one structured location for curriculum proposal tracking. Each record can include a request ID, title, academic unit, program or subject, change type, academic level, proposed effective term, submitted date, requester, request owner, priority, and status. Additional fields capture committee requirements, approval and effective dates, recent activity, next actions, impact areas, and a summary of the proposed change. The table contains populated examples for illustration and prepared rows for operational use.

Monitor Deadlines, Activity, and Approval Progress
Calculated fields use request dates and the Dashboard as-of date to support day-to-day follow-up. Request Age measures elapsed days since submission, while Days Since Activity measures elapsed time since the latest recorded activity. Activity Status classifies records as Closed, Missing Activity Date, Inactive, or Current. For open requests, Due Status identifies No Due Date, Overdue, Due Soon, or On Track based on the next-action deadline and dashboard settings. Approval Cycle Days measures the interval between valid submitted and approval dates.
Review Curriculum Workflow Metrics on the Dashboard
The Dashboard summarizes total and open requests, overdue actions, work due soon, inactive open requests, requests in Committee Review, and requests marked Approved or Implemented. It also reports the average approval cycle for available nonnegative cycle values. Separate summaries count requests by the nine supplied statuses and eight supplied change types, with two accompanying charts. A focused table displays request ID, title, owner, status, next-action due date, and due status.

Standardize Entries and Check Data Quality
Drop-down lists help standardize academic units, change types, academic levels, proposed effective terms, request owners, priorities, statuses, and Yes or No responses. The Data Quality Check formula reviews records for duplicate request IDs, missing expected information, and invalid date sequences. Dashboard review counts show duplicate IDs, records with missing required data, records with date issues, and the total number of records with issues. Users should resolve these messages before relying on workbook summaries.
Use the Tracker Within Its Intended Limits
This workbook is an internal planning and administrative tracking tool. It does not make legal, accreditation, regulatory, or policy determinations. Use fictional or work-related administrative information only, and do not enter student records or sensitive personal information. Values on Lists & Settings can be edited carefully, but renaming or removing a list value does not automatically update existing request entries.
Common questions
About this template
The Change Requests table contains 200 prepared operational rows, covering rows 2 through 201. Some rows contain illustrative sample entries, while the remaining prepared rows are available for user-entered curriculum change requests.
The supplied change types are New Course, Course Revision, Course Deactivation, New Program, Program Revision, Program Deactivation, Policy or Requirement, and Other.
The supplied statuses are Draft, Submitted, Department Review, Committee Review, Revision Requested, Approved, Implemented, Declined, and Withdrawn. These values are stored on the Lists & Settings sheet.
For an open request, the Due Status formula compares Next Action Due with the Dashboard as-of date. A deadline before the as-of date is Overdue. A deadline on or before the as-of date plus the configured due-soon window is Due Soon. A later deadline is On Track, while an open request without a next-action deadline is labeled No Due Date.
The Data Quality Check column looks for duplicate request IDs, missing expected information, and date-sequence issues. The Dashboard separately counts duplicate IDs, records with missing required data, records with date issues, and total records with issues.
Yes. Approval Cycle Days calculates the number of days between Submitted Date and Approval Date when both dates are present and the approval date is not earlier than the submitted date. The Dashboard averages available approval-cycle values that are zero or greater.
No. The workbook is an internal planning and tracking tool and does not provide legal, accreditation, regulatory, or policy determinations. It should contain only fictional or work-related administrative information, not student records or sensitive personal information.
