In practice

What this template helps you manage

  • Centralize section-level schedule planning: Record each section’s term, department, course code, title, section number, status, delivery mode, dates, times, recurring meeting days, room, instructor, and expected enrollment in one structured Excel table.
  • Detect overlapping room assignments: The planner checks non-canceled, non-online sections for the same room, overlapping date ranges, overlapping times, and at least one shared recurring meeting day.
  • Detect overlapping instructor assignments: The planner checks non-canceled sections for the same instructor, overlapping date ranges, overlapping times, and at least one shared recurring meeting day.
  • Monitor room capacity: Room capacity is retrieved from the Rooms sheet. The schedule calculates room utilization and flags applicable in-person and hybrid sections when expected enrollment exceeds capacity.

How to use it

How to use the workbook

Start on the Rooms sheet by entering or updating room IDs, buildings, room names, capacities, room types, and active status. Next, maintain instructor IDs, names, home departments, active status, and maximum weekly hours on the Instructors sheet. Review the editable term and department lists on the Instructions sheet, then enter or import one section per row on Course Schedule. Complete the section details, choose a status and delivery mode, enter the date and time range, mark each recurring meeting day with Yes, and assign room and instructor IDs where applicable. Add expected enrollment so the workbook can evaluate capacity and utilization. Review the calculated columns for duration, weekly contact hours, room capacity, room utilization, room conflicts, instructor conflicts, capacity alerts, and the consolidated Schedule Alert. Finally, use the Dashboard’s term and status selectors to review supported headline metrics and consult the overall status and meeting-day charts.

Check recurring schedules for room and instructor conflicts

Conflict formulas compare date ranges, time ranges, and weekdays marked Yes. A room conflict requires the same room and applies to non-canceled, non-online sections. An instructor conflict requires the same instructor and applies to non-canceled sections. These checks are designed for recurring meeting patterns recorded in the Monday-through-Sunday fields.

Review classroom capacity and room utilization

Maintain each room’s capacity and active status on the Rooms sheet, then select its Room ID on the Course Schedule sheet. The workbook retrieves room capacity, divides expected enrollment by that capacity to calculate utilization, and flags applicable in-person or hybrid sections that are over capacity. Canceled and online sections are shown as not applicable for the capacity alert.

Track instructor assignments and weekly contact hours

For each scheduled section, the workbook calculates meeting duration and multiplies it by the number of selected meeting days. The Instructors sheet totals non-canceled assigned sections and weekly hours by Instructor ID. It then compares assigned weekly hours with the instructor’s entered maximum and flags records that exceed the limit.
