In practice

What this template helps you manage

  • Keep session details in one schedule: Record each class meeting with its class ID, course code, title, section, date, start and end times, time zone, delivery format, location, meeting link, instructor, capacity, enrollment, and status.
  • Review scheduling issues before publication: Calculated alerts identify missing dates or times, end times that are not after start times, enrollment above capacity, and overlapping instructor or location assignments.
  • Monitor enrollment and open seats: The template calculates seats available for each populated row and summarizes aggregate enrollment, positive available seats, and enrollment utilization for scheduled sessions in the selected reporting period.
  • Standardize recurring entries: Prepared dropdowns provide consistent choices for delivery format, time zone, instructor, and status. Additional validation applies to dates, times, capacity, enrollment, and Class ID length.

How to use it

How to use the workbook

Begin on the Dashboard by entering a report start date and end date; the end date must be on or after the start date. On the Class Schedule sheet, review the ten populated examples and replace or clear them as needed. Enter one class meeting or session per row in editable columns A through O, using the prepared dropdowns where available. Then review calculated columns P through S for duration, seats available, schedule alerts, and publishing readiness. Correct missing information, invalid times, over-capacity enrollment, or instructor and location conflicts before using the dashboard to review scheduled sessions in the selected date range. Do not paste over the calculated columns.

Included features and controls

200 prepared operational rows: The Class Schedule sheet provides rows 9 through 208 for session records. Ten of these rows are populated with examples, so the total prepared capacity remains 200 rows.
Nineteen-column Excel table: The tblClassSchedule table spans A8:S208 and includes filters across all schedule inputs and calculated outputs.
Four calculated fields: Duration Hours, Seats Available, Schedule Alert, and Ready to Publish? are calculated across the 200 prepared rows.
Conflict and data-quality checks: The workbook checks overlapping instructor and location use, missing dates or times, invalid time order, and enrollment above capacity. Canceled sessions are excluded from conflict comparisons, back-to-back sessions are allowed, and overnight sessions are not supported.

Plan Class Meetings with a Structured Excel Schedule

The Class Schedule sheet is designed around one row per class meeting or session. Its editable fields cover Class ID, Course Code, Class Title, Section, Class Date, Start Time, End Time, Time Zone, Delivery Format, Location, Meeting Link, Instructor, Capacity, Enrolled, and Status. The filterable Excel table makes it possible to review records by course, date, instructor, format, or status without changing the underlying schedule structure.

Check Conflicts, Capacity, and Required Details

The Schedule Alert column supports operational review by identifying missing date or time details, invalid time ranges, enrollment above capacity, and overlapping instructor or location assignments. Canceled sessions are excluded from overlap checks, while back-to-back sessions are permitted. Workbook guidance requires complete class details for scheduled records, including a location for In Person or Hybrid delivery and a meeting link for Virtual or Hybrid delivery.

Track Scheduled Activity on a Date-Based Dashboard

Users can set a report start date and end date on the Dashboard. Within that range, workbook formulas summarize scheduled-session count, total enrollment, positive available seats, enrollment utilization, dated rows with a schedule alert, and scheduled records that passed all checks. Two charts show scheduled sessions by weekday and by delivery format.

Maintain Consistent Course Operations Data

Dropdowns reduce variations in frequently repeated values. Prepared options include Eastern, Central, Mountain, Pacific, Alaska, and Hawaii time zones; In Person, Virtual, and Hybrid delivery formats; and Draft, Scheduled, Completed, and Canceled statuses. The Settings & Lists sheet includes ten populated instructor names and blank cells beneath them for maintenance. Because delivery-format and status labels are referenced by formulas and checks, the workbook warns that related logic must also be updated if those labels change.
