Record each lab booking request, schedule, expected attendance, equipment need, approval decision, and status on the Bookings sheet. A date-controlled dashboard then summarizes booking activity by lab and status. The workbook includes populated sample records for demonstration as well as prepared rows for operational use.
In practice
What this template helps you manage
- Keep requests and decisions together: Capture the booking ID, request date, booking date, times, lab, course or program, requestor, expected attendees, activity type, equipment needs, setup minutes, status, approval owner, decision date, and notes in one register.
- Find overlapping reservations: The Conflict Flag checks for active bookings in the same lab on the same date with overlapping times. Records marked Canceled or Declined are excluded from this check.
- Review operational readiness: The Readiness Alert can identify attendance above lab capacity, sessions outside established opening hours, missing approval details for decided bookings, and past bookings that remain unresolved.
- Monitor activity by reporting period: Set a start and end date on the Dashboard to review Active Bookings, Pending Requests, Approved Hours, Booking Conflicts, and Readiness Alerts.

About this template
The Bookings sheet contains 200 prepared rows, from row 2 through row 201. The complete register is formatted as tblBookings across A1:T201.
Some rows contain populated sample bookings for demonstration. Those examples are separate from the remaining prepared rows available for operational entry.
It flags overlapping reservations when applicable records use the same lab on the same booking date and their start and end times overlap. Canceled and Declined records are excluded.
The check depends on complete and valid booking details, including a booking ID, lab, date, start time, and end time.
Yes. Lab Capacity is looked up from the Lists sheet, and the Readiness Alert can report Over capacity when Expected Attendees exceeds that value.
The alert can also report a start before opening or an end after closing when operating hours are available for the selected lab. Opening and closing times are established for four prepared labs, but not for Simulation Suite in the workbook manifest.
For a valid selected date range, the Dashboard reports Active Bookings, Pending Requests, Approved Hours, Booking Conflicts, and Readiness Alerts.
It also summarizes active booking counts, approved hours, and expected attendees by lab, provides counts for all five statuses, and includes two charts based on lab and status booking counts.
Users maintain Booking ID, Request Date, Booking Date, Start Time, End Time, Lab, Course or Program, Requestor, Expected Attendees, Activity Type, Equipment Needs, Setup Minutes, Status, Approval Owner, Decision Date, and Notes.
Lab Capacity, Duration Hours, Conflict Flag, and Readiness Alert are calculated across the prepared booking rows.
The workbook validates booking ID format, date ranges, time ranges, lab selections, attendee counts, activity types, setup minutes, statuses, approval owners, and decision dates.
Expected Attendees accepts whole numbers from 1 through 500, and Setup Minutes accepts whole numbers from 0 through 240. The date fields accept dates from January 1, 2020, through December 31, 2100.
