In practice

What this template helps you manage

  • Maintain a consistent absence record: Use one row for each absence event and capture the participant, program, cohort, attendance event, absence date, scheduled hours, reporting date, and documentation workflow in a structured Excel table.
  • Identify deadline risks: Calculated statuses identify required documentation that is overdue, due within seven calendar days, awaiting documentation, received, missing a due date, or not required.
  • Organize internal reviews: Assign a reviewer, select a review outcome, enter a decision date, and record whether follow-up is needed and when it should occur.
  • Improve entry consistency: Validation rules support controlled selections for programs, attendance events, documentation categories, reviewers, review outcomes, and Yes or No fields. Additional rules cover dates, scheduled hours, and note length.

How to use it

How to use the workbook

Begin on Lists & Settings by confirming the As of Date, which controls overdue and upcoming-deadline calculations. Review the prepared lists for programs, attendance events, documentation categories, reviewers, review outcomes, and Yes or No selections; the included reviewer names are fictional and should be replaced with appropriate staff names or role names if needed. Next, open Absence Log and use one row for each absence event. Enter a unique Record ID, an internal Participant ID, the relevant program and attendance event, the absence date, scheduled hours, and the reported date. Select whether documentation is required. If it is required, choose a documentation category and enter a due date. Log only the date documentation was received rather than attaching or describing its contents. Assign a reviewer, select the review outcome, add a decision date when the outcome is no longer Pending, and record any follow-up requirement and date. Finally, review the calculated Documentation Status, Submission Timing, and Data Check columns, then use the Dashboard to prioritize pending reviews, overdue items, upcoming deadlines, and other operational alerts.

Inside the file

Included features and controls

Four purpose-built worksheets: The workbook includes Dashboard, Absence Log, Lists & Settings, and Instructions sheets.
200 prepared log rows: The Absence Log contains a table named tblAbsences covering A1:V201, with 200 prepared rows below the header. Initial populated records are samples; unused rows are intended for operational entry and should remain blank until needed.
Nineteen user-input fields: Input fields cover Record ID, Participant ID, Participant Name, Program, Cohort, Attendance Event, Absence Date, Scheduled Hours, Reported Date, Documentation Required, Documentation Category, Documentation Due Date, Documentation Received Date, Reviewer, Review Outcome, Decision Date, Follow-Up Needed, Follow-Up Date, and Notes.
Three calculated output fields: Documentation Status, Submission Timing, and Data Check are formula-driven columns across the prepared rows. Their formulas can return blank results when the corresponding input row is unused.

Track excused absence documentation in one Excel log

The Absence Log centralizes each absence event and its documentation workflow. Course operations staff can record internal participant identifiers, program and cohort details, attendance events, absence dates, scheduled hours, reporting dates, documentation requirements, deadlines, receipt dates, reviewer assignments, decisions, follow-up dates, and concise notes. Using one row per event creates a consistent operational record without implying that the workbook itself determines whether an absence qualifies as excused.

Prioritize overdue records and pending reviews

Documentation Status formulas compare entered due and received dates with the As of Date maintained on Lists & Settings. The Dashboard then summarizes overdue documentation, records due within seven days, pending reviews, excused records, total absence records, and scheduled hours logged. Operational alerts also help surface records with data checks, missing documentation due dates, past-due follow-up, and received documentation awaiting review.

Standardize entries with validations and calculated checks

The template uses list validation for six prepared programs, seven attendance events, seven documentation categories, four fictional reviewers, four review outcomes, and Yes or No fields. Date validations, a 0-to-24 scheduled-hours rule, and a 250-character notes limit provide additional entry controls. Formula-driven Data Check results help identify the first missing or inconsistent item found in a populated row.

Use the workbook with appropriate data limits

This free Excel template is designed for internal operational tracking. Its Instructions sheet advises users to enter only the minimum information needed and to log receipt dates rather than document contents. It is not a document repository, does not decide whether an absence must be excused, and does not provide legal, regulatory, accreditation, or policy advice.
