How to use it
How to use the workbook
Begin on the Dashboard by setting the As of Date. On the Cases sheet, use one row for each case and enter the Case ID, student alias, ownership, status, attendance window, attendance totals, concern, intervention tier, current plan, next review date, outcome, and any applicable closure information. Do not overwrite calculated columns such as Attendance Rate, Risk Band, Last Contact Date, Days Since Contact, Case Alert, and Data Check. Record every outreach or intervention activity as a separate row on the Contact Log, using the matching Case ID and entering any follow-up due or completion dates. Return to the Dashboard to review risk, overdue and due-soon work, stale or missing contact activity, owner workload, and data-quality issues. Correct every Data Check result that is not OK, and enter both a Close Date and Closure Reason when closing a case. The workbook instructions identify editable cells as pale yellow and calculated cells as light gray.

Calculate Attendance Risk With Configurable Thresholds
The Cases sheet calculates Attendance Rate as (Days Enrolled - Days Absent) / Days Enrolled and constrains the result between 0% and 100%. The calculated rate is then assigned to Critical, High, Moderate, or On Track using thresholds on the Settings sheet. The supplied defaults mark rates below 80% as Critical, rates from 80% to below 90% as High, rates from 90% to below 95% as Moderate, and rates at or above 95% as On Track.
Connect Case Plans With Outreach and Follow-Up
Each attendance case can include its owner, status, attendance window, primary concern, intervention tier, current plan, next review date, outcome, closure details, and notes. The Contact Log records separate outreach or intervention activities with a matching Case ID. These records support calculated latest-contact dates, days since contact, days to follow-up, and follow-up statuses so teams can distinguish completed work from overdue, due-soon, scheduled, missing, or review-required items.

Improve Operational Data Quality
Formula-based Data Check columns review case and contact records for issues such as duplicate IDs, missing required information, contact Case IDs not found on the Cases sheet, future contact dates, inconsistent attendance-window dates, absences greater than enrolled days, unexcused absences greater than total absences, and follow-up dates earlier than contact dates. The Dashboard counts Data Check results that are not OK so teams can find records that require correction.
