In practice

What this template helps you manage

  • Keep session attendance organized: Record one row for each learner scheduled for each session, with fields for Record ID, Session Date, Session Title, Learner ID, Attendance Status, Scheduled Minutes, Attended Minutes, and Note.
  • Reduce repetitive entry: Select a Learner ID from the roster, and the Attendance Log calculates the corresponding Learner Name and Group.
  • Apply consistent counting rules: Present and Late count as attended sessions, Absent counts as a session but not as attended, and Excused is excluded from both counted-session and attended-session totals.
  • Monitor learners against individual targets: Maintain a Target Attendance Rate for each learner and review calculated attendance results and follow-up statuses on the Dashboard.

How to use it

How to use the workbook

Start on Roster & Settings by replacing or updating the populated sample learners within the 100 prepared roster rows. Give each learner a unique Learner ID and enter a name, group, Active value, and Target Attendance Rate. Review the default target rate and supporting dropdown lists. Next, open Attendance Log and enter one row for every learner scheduled for every session in the 500 prepared log rows. Complete Record ID, Session Date, Session Title, Learner ID, Attendance Status, and Scheduled Minutes; add Attended Minutes and a Note when appropriate. Leave the calculated Learner Name, Group, Counted Session, Attended Session, Attendance Rate, and Review Flag cells intact. Correct any flagged source records, then use the Dashboard date and group controls to analyze attendance and follow-up needs.

Included features and controls

Four purpose-built worksheets: The workbook contains Dashboard, Attendance Log, Roster & Settings, and Instructions sheets.
500 prepared attendance rows: The Attendance Log uses the range A5:N504 and is structured as the tblAttendance Excel table. Some rows contain populated samples, while the prepared range contains 500 rows in total.
100 prepared roster rows: Roster & Settings uses the range A5:I104 and is structured as the tblRoster Excel table. Some rows contain sample learners within the 100-row prepared range.
Validated attendance inputs: Record IDs are checked for uniqueness; session dates are limited to January 1, 2020 through December 31, 2035; session titles allow 1 to 80 characters; Learner IDs and statuses use configured lists; Scheduled Minutes allow whole numbers from 1 to 1440; Attended Minutes allow whole numbers from 0 to 1440; and Notes allow up to 250 characters.

Track Course Attendance by Learner and Session

The attendance sheet is organized around learner-session records rather than a simple list of names. Each Attendance Log row captures the session, learner, attendance status, and scheduled duration. Attended Minutes can document partial participation, while the Note field can hold a short operational explanation. Formulas use the selected Learner ID to retrieve the learner’s name and group from the roster.

Understand the Excel Attendance Rate Calculation

The template calculates attendance on a session basis. Present and Late each produce one counted session and one attended session. Absent produces one counted session and zero attended sessions. Excused produces zero for both values, excluding it from the denominator. Attendance Rate is Attended Sessions divided by Counted Sessions; Attended Minutes provides additional detail but does not alter that session-based rate.

Use the Dashboard for Attendance Follow-Up

The Dashboard can be filtered with a Start Date, End Date, and Group selection. Its headline metrics cover attendance rate, counted and attended sessions, absences, learners below target, and records needing review. It also breaks completed records into Present, Late, Absent, and Excused statuses, compares listed groups, and displays learner-level results against target rates. If the Start Date is later than the End Date, the sheet displays a warning rather than presenting normal results.

Maintain Data Quality with Validations and Review Flags

Input validation supports consistent dates, status values, learner selections, minute values, target rates, and text lengths. The Attendance Log’s calculated Review Flag checks operational records for problems including missing required information, duplicate Record IDs, unknown learners, future session dates, and invalid scheduled-minute values. Roster Review separately checks for missing roster fields and duplicate Learner IDs.
