In practice
What this template helps you manage
✓
Coordinate class requests and classroom assignments in one workbook with four purpose-built sheets: Dashboard, Class Requests, Rooms, and Instructions.
✓
Use 200 prepared rows for class requests and 25 prepared rows for the room inventory. The workbook includes populated samples that are distinct from the remaining operational rows.
✓
Reduce manual checking with calculated outputs for Duration Hours, Room Capacity, Conflict Count, Room Fit, and Review Alert.
✓
Identify overlapping bookings when noncanceled classes use the same room on the same date and their scheduled times overlap.
How to use it
How to use the workbook
Start on the Rooms sheet and review each room's unique name, building or area, capacity, projector availability, computer availability, accessibility, Active setting, and notes. Next, enter one class request per prepared row on the Class Requests sheet, including the request ID, course details, class date, start and end times, expected attendance, and facility requirements. Set developing requests to Draft and complete requests that need a room to Ready to Schedule. Select an Assigned Room from the validated list, then review the automatically calculated Duration Hours, Room Capacity, Conflict Count, Room Fit, and Review Alert fields. Resolve incomplete information, invalid time ranges, overlapping bookings, unsuitable rooms, and missing or inactive room assignments before changing the status to Scheduled. Finally, use the Dashboard to monitor unresolved room needs, assignment progress, request status, expected attendance, and assigned active classes by room. The Dashboard Review Date is a reference field and does not filter its metrics.

Find Overlapping Classroom Bookings
Conflict Count checks for other noncanceled requests using the same room on the same class date. A potential conflict is counted when the class times overlap. This automated check supports review of double-booking risks, while the scheduler remains responsible for resolving flagged assignments before confirming them as Scheduled.
Maintain a Structured Room Inventory
The Rooms sheet contains 25 prepared rows with fields for room name, building or area, capacity, projector availability, computer availability, accessibility, Active status, and notes. Room names are validated for uniqueness because they serve as lookup keys. The workbook states that only rooms marked Active = Yes should be used for new assignments.

Monitor Classroom Allocation Progress
The Dashboard summarizes active requests, scheduled classes, requests that still need rooms, conflicts, room-fit issues, expected attendees, assignment rate, and active rooms. It also shows status counts and assigned active-class counts by room through two charts. Canceled requests are generally excluded from active metrics, and the Review Date is for reference rather than metric filtering.
Common questions
About this template
The Class Requests sheet provides 200 prepared rows, from row 7 through row 206. Some rows contain populated sample requests, while the other prepared rows are available for operational entry.
The Conflict Count checks for other noncanceled classes assigned to the same room on the same class date with overlapping start and end times. Canceled requests and rows without the required scheduling information are not treated as active conflicts.
Room Fit compares expected attendance with room capacity and checks projector, computer, and accessibility requirements against the selected room's recorded features. It does not evaluate requirements that are not represented by those workbook fields.
No. The Review Date is a validated reference field for the scheduler and does not filter the Dashboard calculations. The Last Updated field separately uses the TODAY() formula.
The Assigned Room validation references room names in Rooms!A6:A30. The workbook separately identifies assignments to rooms that are missing or marked inactive, and its instructions state that only rooms with Active set to Yes should be used for new assignments.
No. Entries such as Maple 101 and the displayed class requests are populated samples that demonstrate how the workbook works. They are distinct from the prepared operational rows, and users should review or replace sample information for their own planning process.
