This free Excel template helps teams manage classroom capacity and feature matrix. This free classroom capacity and feature matrix Excel template helps course operations teams maintain a room inventory and compare classrooms with reusable instructional requirement profiles. Select a profile to evaluate published capacity, room type, accessible seating, furniture, technology, lab computers, and network ports.
Formula-driven results identify capacity margins, missing required features, room fit statuses, and records needing review. The workbook supports operational planning, but it does not confirm whether a room is available to schedule.

About this template
After a requirement profile is selected, the workbook compares room records with the profile's expected attendance, required room type, minimum accessible seating, required furniture and technology features, minimum lab computers, and minimum network ports. It also considers room status and required room information.
The calculated Fit Status can be Fits, Does Not Fit, Review Needed, or Select Profile. The workbook defines Fits as an active room meeting the selected profile, while Does Not Fit means one or more selected requirements are not met.
A room can receive Review Needed when required information such as Published Capacity, Room Type, Status, or Last Verified is missing. It can also require review when Last Verified is in the future or older than the verification review age selected on the Dashboard.
The review-age control accepts whole numbers from 30 to 730 days. Its populated value is 180 days.
The Room Matrix table covers A4:X104 and contains 100 prepared data rows from rows 5 through 104. The Requirement Profiles table covers A4:N101 and contains 97 prepared data rows from rows 5 through 101.
Sample records and profiles are populated near the top of these tables. The remaining prepared rows are available for additional operational entries and should not be described as already populated inventory.
The Dashboard includes a Yes or No control for whether inactive rooms are included in the Rooms in Inventory KPI. Choosing Yes counts nonblank Room IDs without limiting that KPI to active status, while choosing No counts active room records.
Active Rooms and Active Published Seats remain active-room measures. The workbook also treats a room that is not active as a missing fit requirement when evaluating the selected profile.
The main Dashboard inputs are B4 for the selected profile, B5 for the verification review age, and B6 for the inactive-room inventory option. Room Matrix columns A through T contain room inputs, while Requirement Profiles columns A through M contain profile inputs.
Do not overwrite Room Matrix columns U through X or Requirement Profiles column N because they contain formulas. Dashboard details, KPIs, alerts, summary values, and chart source values are also calculated outputs.
No. This classroom capacity and feature matrix supports operational planning and room-fit screening only. It compares recorded room characteristics with selected instructional requirements but does not include a capability to confirm scheduling availability.
Users should confirm actual availability and verify room information through their organization's normal facilities, scheduling, and technology procedures.
