How to use it
How to use the workbook
Start on Reference Data and review the supplied 14-day Upcoming Window and 90% Capacity Warning Threshold. These settings can be changed within their validated limits: 1 to 90 days for the upcoming window and 50% to 100% for the capacity threshold. Next, open Exam Schedule and enter one event per row in the blue input cells. Use a unique Exam ID and complete the course, date, time, delivery, location, attendance, proctor, accommodation, status, and materials fields that apply. Use the provided dropdown choices wherever available, and do not overwrite the gray calculated cells. Review Duration (Minutes), Conflict Check, Capacity Check, and Action Needed for each populated row. Filter Action Needed to values other than No action needed, then resolve conflicts, capacity issues, missing details, upcoming unconfirmed exams, and materials concerns. Finally, use the Dashboard to review totals, alerts, status counts, delivery-mode counts, and charts before distributing the schedule. Do not enter student-level information.

Coordinate Exam Dates, Times, Rooms, and Proctors
Use the exam schedule planner to maintain one operational register for course and program exams. Each event can include its date, start and end times, time zone, delivery mode, building or platform, room or meeting code, and lead and backup proctors. Duration is calculated in minutes when valid start and end times are present. End Time must be later than Start Time, so overnight exams are not supported.

Find Scheduling Conflicts and Capacity Problems
The Excel template compares active events on the same date to identify overlapping room assignments, lead-proctor assignments, or both. Canceled exams are excluded from these checks, while back-to-back exams are allowed when one ends exactly as the next begins. For applicable delivery modes, the workbook also compares expected attendance with room capacity. Online exams can leave Room Capacity blank, but in-person, hybrid, and testing-center events should include both capacity and expected attendance.
Turn Exam Data Into a Prioritized Review Queue
Action Needed converts schedule conditions into practical follow-up categories. Missing required fields are identified before lower-priority checks, while conflicts, exceeded capacity, overdue materials, and upcoming Draft or Tentative exams receive their applicable action labels. The Dashboard consolidates these results so course operations teams can review critical and warning items before finalizing or distributing a schedule.

Configure the Upcoming Window and Standardize Entries
Reference Data contains the setting used to define upcoming exams and confirmation alerts. The supplied value is 14 days and accepts values from 1 to 90. It also includes a supplied 90% capacity warning threshold, adjustable from 50% to 100%, plus the source lists used by schedule dropdowns. These controls improve consistency, but the workbook does not reserve rooms, send notifications, assign students, or validate institutional policy or legal requirements.
