How to use it
How to use the workbook
Add one row to the Session Tracker for each missed-session requirement and assign a unique Record ID. Enter the learner reference, learner display name, program or course, cohort, original session date, missed topic or module, and missed reason. Leave Due Window Days blank to apply the default 14-day window, or enter an approved whole-number override from 1 through 90. When a make-up session is arranged, enter its date, start time, delivery method, facilitator, and location or meeting note. After the session date, set Attendance to Attended or No-Show. Set Canceled to Yes only when the requirement is no longer being tracked, and enter Last Reviewed whenever the record is checked or updated. Use the Dashboard and Session Tracker filters to review overdue, follow-up, attendance-pending, course, cohort, facilitator, or other relevant records.

Manage Make-Up Session Scheduling in One Excel Tracker
The Session Tracker provides one prepared row for each missed-session requirement. It captures Record ID, Learner Reference, Learner Display Name, Program or Course, Group or Cohort, Original Session Date, Missed Topic or Module, Missed Reason, Due Window Days, Make-Up Session Date, Start Time, Delivery Method, Facilitator, Location or Meeting Note, Attendance, Canceled, Notes, and Last Reviewed. Required By, Status, and Days Remaining are calculated outputs rather than user-entry fields.

Monitor Deadlines and Statuses Automatically
Required By is calculated by adding Due Window Days to the Original Session Date. If the row-level due window is blank, the formula uses the default value from Lists & Settings, initially 14 days. Status is assigned from the scheduling, attendance, cancellation, deadline, and current-date information. Available results are Needs Scheduling, Scheduled, Attendance Pending, Follow-Up Needed, Overdue, Completed, and Canceled. Deadline and status metrics rely on the computer's current date.
Review Course Operations from the Dashboard
The Dashboard summarizes total and outstanding records, overdue requirements, sessions scheduled in the next seven days, attendance-pending records, follow-up needs, completed records, and attendance success rate. The success rate divides Attended records by the combined number of Attended and No-Show records. A status chart displays record counts by status, while separate checks flag duplicate IDs, missing required fields, late scheduling, and past sessions without recorded attendance.

Standardize Data with Validated Lists and Settings
Drop-down lists support consistent entries for Program or Course, Missed Reason, Delivery Method, Facilitator, Attendance, and Canceled. Due Window Days accepts whole numbers from 1 through 90, date fields accept dates from January 1, 2020 through December 31, 2035, and Start Time accepts valid times. Replacement list values can be added within the prepared ranges on Lists & Settings without placing blank cells between active items.
Common questions
About this template
The Session Tracker contains 500 prepared operational rows, spanning rows 2 through 501 beneath the header. Blank prepared rows are ignored by the Dashboard calculations.
Required By, Status, and Days Remaining are calculated automatically for every prepared row. Users should enter or select the underlying scheduling, attendance, cancellation, and date information rather than replacing these calculated outputs.
Canceled is returned when Canceled is set to Yes. Attended produces Completed, while No-Show produces Follow-Up Needed. A make-up date today or later produces Scheduled; a past make-up date without another outcome produces Attendance Pending. Without a make-up date, the record is Overdue if its required date has passed and Needs Scheduling otherwise.
Yes. The Default Due Window Days value on Lists & Settings is initially 14 and accepts a whole number from 1 through 90. The prepared course, missed reason, delivery method, facilitator, attendance, and cancellation lists can also be updated within their existing prepared ranges.
Prioritize Overdue and Follow-Up Needed records, then confirm attendance for past make-up dates. Review duplicate Record IDs, missing required fields, sessions scheduled after the Required By date, and past sessions where attendance remains Not Recorded. The workbook's instructions also recommend keeping notes brief and avoiding sensitive personal details.
