In practice

What this template helps you manage

  • Keep case details and outreach history organized: Maintain one case row for each missed session and one separate log row for every call, email, text message, portal message, in-person conversation, or documented administrative action.
  • Identify work that needs attention: Use calculated follow-up alerts and dashboard counts to review cases needing attention, overdue follow-ups, open cases with no attempts, and open cases without a next follow-up date.
  • Measure follow-up activity: Automatically calculate each case's first follow-up due date, attempt count, first attempt date, last attempt date, and days open. The dashboard also calculates first follow-up completion and the on-time first follow-up rate.
  • Standardize operational data: Use prepared dropdowns for programs, session types, delivery formats, staff members, contact methods, statuses, outcomes, and attempt results. Date and text-length validations support more consistent entry.

How to use it

How to use the workbook

Begin on the No-Show Cases sheet and create one row for every missed session, using a unique No-Show ID. Enter the learner and session details, assign a staff member, and select the current status. Next, add one row to the Follow-Up Log for every contact attempt or documented action, linking each entry to the applicable No-Show ID. Keep the case outcome, next follow-up date, rescheduled session date, closed date, and brief notes current as work progresses. Update the As of Date on the Dashboard to review workload for the desired day, then resolve nonblank Follow-Up Alert and Data Quality Check results before reporting. Enter data only in intended user-entry cells; the Instructions sheet identifies gold cells as editable and gray cells as calculated fields that should not be overwritten.

Manage each missed session as a distinct no-show case

The No-Show Cases sheet gives course operations teams a consistent record for every missed session. Each row can capture the learner, program, session date and type, delivery format, assigned staff member, preferred contact method, case status, outcome, next action, rescheduled date, closed date, and concise operational notes. The prepared status options cover new work, follow-up in progress, awaiting a learner response, rescheduled cases, and three closed-case categories.

Preserve a detailed follow-up history

The Follow-Up Log keeps individual outreach actions separate from the main case record. Every attempt can be linked to a No-Show ID and documented with its date, contact method, staff member, result, next follow-up date, and notes. The case sheet uses those linked entries to calculate the number of attempts and identify the first and last attempt dates, reducing the need to summarize multiple actions manually in one case note.

Prioritize overdue outreach from an as-of-date dashboard

The Dashboard provides a date-based view of workload and outcomes. Update its validated As of Date to review a different day, then monitor total no-shows, open cases, attention flags, overdue follow-ups, rescheduled cases, cases closed as unable to reach, completed first follow-ups, and the on-time first follow-up rate. Additional counts identify open cases with no attempts, open cases without a next follow-up date, and data-quality issues on both operational sheets.

Improve consistency with validations and quality checks

Prepared dropdowns standardize programs, session types, delivery formats, staff members, contact methods, case statuses, outcomes, and attempt results. The workbook also validates unique IDs, dates, and note lengths. Calculated quality checks flag conditions including missing required fields, duplicate identifiers, follow-up entries linked to unknown cases, attempts dated before missed sessions, and inconsistent case dates. These checks support review but do not replace staff judgment or established operating procedures.
