How to use it
How to use the workbook
Begin on the Dashboard by entering the As of Date, Window Start, and Window End; the Settings Check reports whether all dates are present and whether the window is valid. Next, maintain one row per reservable item on the Equipment sheet, using a unique Equipment ID and recording its name, category, home location, availability status, maintenance period, coordinator, and notes as applicable. Then enter one reservation per row on the Reservations sheet, including a unique Reservation ID, a valid Equipment ID, requester information, purpose, start and end date and time, status, and other operational details. Review the calculated Equipment Name, Duration Hours, Overlap Check, Equipment Check, Schedule Alert, and Record Check before approving or issuing equipment. Continue updating each status as the reservation progresses, using Completed after return and Declined or Canceled when a request will not proceed. Use the Dashboard reporting window to review activity, demand, conflicts, overdue checkouts, unavailable equipment, and other review counts.

The Equipment Name is then calculated on the reservation row, allowing course operations teams to work from consistent equipment records while tracking requesters, departments or teams, purposes, booking times, approval details, submission dates, and notes.

Review Conflicts, Maintenance, and Availability
Prepared reservation formulas compare bookings for the same Equipment ID and flag overlapping active records as Conflict. Separate checks can identify equipment marked Out of Service or Retired, reservations that intersect a recorded maintenance period, and end times that are not later than start times. These are review aids; coordinators still make approval and scheduling decisions.
Track Requests, Checkouts, and Returns
Six defined statuses support the reservation workflow: Requested, Approved, Checked Out, Completed, Declined, and Canceled. Using the Dashboard As of Date, schedule formulas can flag overdue Checked Out records, confirmed reservations starting on the As of Date or the following calendar day, and Requested reservations whose start date has already passed.

Summarize Equipment Demand with a Date-Controlled Dashboard
The Dashboard counts reservations that intersect the selected Window Start and Window End. It displays active activity, requests awaiting disposition, Approved or Checked Out reservations, conflicts, overdue checkouts, unavailable equipment, counts by status, equipment-level demand, and review exceptions. The workbook does not provide notifications or automatic approvals; users review the calculated outputs and update records manually.

Yes. The Equipment sheet includes Availability Status, Maintenance Start, and Maintenance End fields. A reservation can be flagged as Equipment unavailable when its item is marked Out of Service or Retired, or as Maintenance overlap when its scheduled period intersects the item's recorded maintenance window.
Users enter Reservation ID, Equipment ID, Requester Name, Department or Team, Reservation Purpose, Start Date and Time, End Date and Time, Status, Approved By, Submitted Date, and Notes. The Dashboard counts reservations that intersect the selected Window Start and Window End according to its formulas. The active-reservation metric excludes Canceled and Declined records, while the status section reports separate counts for all six reservation statuses.
No. The workbook provides formulas, alerts, conditional formatting, validated entry fields, summaries, and charts. It does not include a manifested capability for sending notifications or automatically approving requests, so coordinators must review alerts and update reservation statuses manually.
