This free Student Outreach Communication Log Excel template for 2026 gives course operations teams a structured way to document student outreach and manage communication follow-ups. Record one distinct interaction per row, including the student reference, program, outreach owner, date, channel, direction, purpose, outcome, and next step. Formula-driven fields calculate days since outreach, classify follow-up timing, and flag records for review.
The date-controlled dashboard then summarizes outreach activity and follow-up commitments for a selected reporting period. The workbook includes fictional sample records that demonstrate its behavior and can be replaced when preparing the file for operational use.
In practice
What this template helps you manage
- Create one consistent outreach record: Use 100 prepared operational rows in the Outreach Log to document distinct student communication interactions. The log covers Outreach ID, Student Reference, Student Name, Program, Outreach Owner, Outreach Date, Channel, Direction, Outreach Purpose, Outcome, Follow-Up Required, Follow-Up Due Date, Follow-Up Status, Follow-Up Completed Date, Next Step, and Notes.
- Prioritize time-sensitive follow-ups: Use the calculated Follow-Up Timing field to distinguish Overdue, Due Today, Due in Next 7 Days, Upcoming, Missing Due Date, Completed, Canceled, and Not Required records. These classifications are based on each row's follow-up entries and the Dashboard As of Date.
- Monitor activity for a selected period: Set a Reporting Start Date, Reporting End Date, and As of Date on the Dashboard. The workbook verifies that all dates are entered and that the start date is not after the end date before showing dashboard results.
- Improve entry consistency: Dropdown validation supports Program, Outreach Owner, Channel, Direction, Outreach Purpose, Outcome, Follow-Up Required, and Follow-Up Status. Date validation applies to the relevant dashboard and log fields, while Next Step and Notes have text-length limits.

About this template
The Outreach Log includes 100 prepared operational rows, covering rows 2 through 101 within the tblOutreach table. Some rows contain fictional sample records that demonstrate workbook behavior and can be replaced for operational use.
The Dashboard counts records whose Outreach Date falls between the entered Reporting Start Date and Reporting End Date, inclusive. All three dashboard dates must be entered, and the start date must not be later than the end date, for the date check to return OK and the dashboard formulas to display results.
A follow-up is labeled Overdue when Follow-Up Required is Yes, Follow-Up Status is Open, a due date is present, and that due date is earlier than the Dashboard As of Date. A due date equal to the As of Date is labeled Due Today.
The calculated Follow-Up Timing field displays Missing Due Date. The row's Review Flag can also identify the missing follow-up due date, and the Dashboard includes a Missing Due Date alert count for records in the selected reporting period.
In the Outreach Log, columns Q through S contain the calculated Days Since Outreach, Follow-Up Timing, and Review Flag outputs through row 101. Users should enter operational data in columns A through P and treat columns Q through S as formula-driven results.
No. The Instructions sheet states that the included example records and names are fictional and are provided only to demonstrate workbook behavior. They should be replaced when preparing a production file.
