In practice

What this template helps you manage

  • Replace unstructured attendance notes with a consistent event log covering participant, session, timing, reason, and follow-up details.
  • Compare actual arrival and departure times with scheduled session times without manually calculating missed minutes.
  • Distinguish late arrivals, early departures, combined events, and on-time records through calculated event types.
  • Identify populated records with missing required information, missing timing entries, threshold-based review needs, or overdue follow-up.

How to use it

How to use the workbook

Begin on the Settings sheet by reviewing the participant and program lists, reason categories, excuse statuses, review statuses, follow-up owners, and the Review Threshold in Minutes. The supplied threshold is 15 minutes. Next, add or maintain scheduled records on the Sessions sheet, including a unique session code, date, program, title, scheduled start, scheduled end, and active status. In the Event Log, enter a unique Event ID and select the applicable Session Code and Participant ID. Then enter the Actual Arrival, Actual Departure, or both, followed by any reason, excuse status, review status, follow-up owner, review due date, and notes. Do not overwrite the calculated columns, which retrieve session and participant details and calculate timing results. Finally, set the Dashboard Start Date, End Date, and Program to review matching metrics, monthly counts, reason-category counts, and records requiring action.

Included features and controls

Five worksheets: Dashboard, Event Log, Sessions, Settings, and Instructions.
An Event Log with 200 prepared rows, including populated sample events and blank rows for operational entry.
A Sessions sheet with 100 prepared rows, including populated sample sessions.
Participant settings with 100 prepared rows, including populated samples.

Calculate Tardiness and Early Departure Minutes

The Event Log compares Actual Arrival with Scheduled Start to calculate Late Minutes and compares Actual Departure with Scheduled End to calculate Early Departure Minutes. Both calculations prevent negative results. Total Minutes Missed adds the two values, while Event Type identifies whether the populated timing record represents a late arrival, an early departure, both conditions, or an on-time event.

Connect Attendance Events to Sessions and Participants

Selecting a Session Code retrieves the corresponding session date, program, title, scheduled start, and scheduled end from the Sessions sheet. Selecting a Participant ID retrieves the participant name from Settings. The prepared Event Log supports up to 200 rows, but only populated rows represent actual or sample records.

Manage Reviews, Reasons, and Follow-Up

Each event can include a reason category, excuse status, review status, follow-up owner, review due date, and notes. The Settings sheet supplies the validated lists and contains the missed-minute threshold. Alerts can identify missing session or participant information, records without either actual timing entry, threshold-level records that remain blank or Open, and past-due reviews that are not Completed.

Analyze Attendance Timing on the Dashboard

The Dashboard summarizes records within the selected Start Date, End Date, and Program. It reports logged records, late arrivals, early departures, total minutes missed, average minutes missed, and records requiring action. It also provides monthly late-arrival and early-departure counts and reason-category totals through two charts. If the start date is later than the end date, the displayed calculations return zero.
