This free Excel template helps teams manage enrollment status reconciliation. This free enrollment status reconciliation Excel template helps course operations teams compare SIS and LMS enrollment statuses in a consistent, reviewable format. Enter one enrollment record per prepared row, and the workbook calculates the expected LMS status, reconciliation result, days open, priority, and duplicate check. It also supports issue assignment and resolution tracking through owner, issue date, resolution status, resolution date, and notes fields.

The four included sheets are Dashboard, Reconciliation, Lists, and Instructions. Populated sample records are included for illustration and should be replaced or cleared before operational use without overwriting the formula-driven columns.

In practice

What this template helps you manage

  • Compare SIS and LMS enrollment statuses in one structured reconciliation table.
  • Identify matched records, missing LMS access, access that should be removed, unexpected LMS records, status mismatches, incomplete rows, and duplicate combinations.
  • Convert unresolved enrollment discrepancies into an operational queue using issue dates, owners, resolution statuses, resolution dates, and notes.
  • Prioritize access-related discrepancies and aged status mismatches using the reporting as-of date and configurable aging threshold.

How to use it

How to use the workbook

Start on the Lists sheet by setting the Reporting As of Date in cell B2 and Aging Alert Days in cell B3. The reporting date accepts dates from January 1, 2020 through December 31, 2099, while the aging threshold accepts whole numbers from 1 through 365. Next, open the Reconciliation sheet and replace or clear the populated sample inputs. Enter or paste one enrollment record per row within the 100 prepared rows, from rows 7 through 106. Complete the required Reconciliation ID, Learner Reference, Course Code, Section, Term, SIS Status, and LMS Status fields. Add optional dates and a learner display name where appropriate. Review the formula-driven Expected LMS Status, Reconciliation Result, Days Open, Priority, and Duplicate Check columns without overwriting them. For unresolved discrepancies, enter an Issue Identified Date, select an Owner, and update the Resolution Status. When work is completed, add a valid Resolution Date and concise Resolution Notes. Finish by reviewing the Dashboard totals, charts, owner counts, and alerts before concluding the reconciliation cycle.

Inside the file

Included features and controls

Four worksheets: Dashboard, Reconciliation, Lists, and Instructions.
A prepared reconciliation table covering A6:T106, with 100 operational data rows from 7 through 106.
Required input fields for Reconciliation ID, Learner Reference, Course Code, Section, Term, SIS Status, and LMS Status.
Optional operational fields for Learner Display Name, SIS Effective Date, LMS Last Activity Date, Issue Identified Date, Owner, Resolution Status, Resolution Date, and Resolution Notes.

Compare SIS and LMS Enrollment Statuses

The Reconciliation sheet places SIS and LMS enrollment data in a single 20-column table. Supported SIS statuses are translated into an Expected LMS Status before the workbook compares that expectation with the entered LMS status. This structure helps course operations teams apply the same enrollment status reconciliation logic across every prepared row instead of reviewing differences without a consistent classification method.

Classify Enrollment Discrepancies Consistently

The workbook classifies a complete, unique record as Matched when the LMS status equals the expected status. It identifies Missing in LMS when the SIS shows Enrolled and the LMS record is Not Found. Access Should Be Removed applies when the SIS shows Dropped, Withdrawn, or Completed while LMS access remains Active or Pending. Unexpected LMS Record indicates that no SIS record was found while the LMS remains Active or Pending. Other differences may return Status Mismatch. Missing required values, or records where both systems show Not Found, return Incomplete. Repeated learner, course, section, and term combinations return Duplicate.

Assign, Age, and Resolve Open Issues

Operational tracking fields let users record an Issue Identified Date, assign one of the listed owners, set a Resolution Status, add a Resolution Date, and document Resolution Notes. For eligible unresolved discrepancies with an issue date, Days Open is calculated from the configured reporting as-of date. Missing LMS access, unexpected LMS access, and access that should be removed are assigned High priority while unresolved. Status mismatches become High when they reach the configured aging threshold; other unresolved discrepancies below that threshold are Medium. Priority remains blank for matched, incomplete, duplicate, resolved, and no-action records.

Monitor Reconciliation Progress and Review Alerts

The Dashboard presents formula-driven totals for records, matches, open issues, high-priority open issues, incomplete records, duplicates, resolved issues, and reconciliation rate. It also counts results by category and open issues by the four listed owners plus Unassigned. Review alerts identify unresolved discrepancies without an issue date, open issues without an owner, and resolved records without a resolution date. Two charts visualize reconciliation-result counts and owner-level open-issue counts.
