In practice
What this template helps you manage
✓
Keep request operations in one structured register: The Request Tracker uses the tblRequests table across columns A through X. It provides 250 prepared operational rows, from rows 6 through 255, for intake details, destination, assignment, priority, workflow status, fee status, milestone dates, notes, and last-updated dates.
✓
Calculate deadlines in business days: The selected Request Type determines the default fee and SLA business days through lookup formulas. Due Date, Age in Business Days, Turnaround Days, and Days to Due use WORKDAY or NETWORKDAYS calculations that reference the holiday dates maintained on Settings & Lists.
✓
Identify urgent requests and data issues: The tracker flags eligible active requests as OVERDUE when the current date is past the calculated due date. A Data Check formula reviews records for missing or inconsistent information, while conditional formatting highlights items requiring attention.
✓
Review workload from a separate dashboard: The Dashboard summarizes open, overdue, soon-due, and on-hold requests. It also reports requests received and sent in the last 30 days, average turnaround for requests sent in that period, and records needing review.
How to use it
How to use the workbook
Start on Settings & Lists and confirm the request types, SLA business days, default fees, delivery methods, assigned staff, priorities, statuses, hold reasons, fee statuses, and office holidays. Keep each list contiguous without blank rows. Next, replace or delete the fictional sample records, then enter one transcript request per row in the gold cells on Request Tracker. Update assignment, priority, status, hold reason, fee status, Date Sent, Date Closed, Notes, and Last Updated as work progresses. Do not overwrite the light-gray calculated fields: Amount Due, SLA Days, Due Date, Age (Business Days), Turnaround Days, Days to Due, Overdue Flag, and Data Check. For daily review, check the Dashboard and filter the tracker for OVERDUE records, Days to Due values from 0 through 3, On Hold or Awaiting Information statuses, and Data Check results other than OK.

Monitor SLA Due Dates and Transcript Turnaround
Selecting a Request Type automatically looks up its configured SLA business days and default fee. The workbook calculates the due date with WORKDAY and measures age and turnaround with NETWORKDAYS, using holiday dates from Settings & Lists. Days to Due helps distinguish upcoming deadlines from late work, while the Overdue Flag identifies active requests whose due dates have passed. Sent and Canceled records are excluded from the overdue calculation.
Review Transcript Request Workload on the Dashboard
The dashboard presents an as-of date and eight operational measures for workload, deadlines, recent activity, turnaround, and data review. Open Requests excludes Sent and Canceled records. Due in Next 3 Business Days counts active requests due from today through three business days from today. Status counts and six displayed months of intake data support the workbook's two charts, and an automated dashboard message directs attention to data issues or overdue records when applicable.

Use Validation and Data Checks for Consistent Records
The Excel template combines dropdown lists, custom validation, date controls, calculated checks, and conditional formatting. Request IDs must follow the validated REQ-000000 structure, and validated date-entry fields cannot be later than today. The Data Check output can identify missing or inconsistent information, including duplicate request IDs. These controls support review but do not replace local records procedures, institutional policies, or compliance requirements.
