How to use it
How to use the workbook
Start on the Retention Rules sheet and review every prepared rule row. Replace or confirm the fictional record types, trigger events, retention periods, default actions, rule owners, statuses, and notes through your organization’s authorized records owner. Next, set the Dashboard as-of date and choose a review window between 1 and 365 days. On the Records sheet, use one row for each record group or bounded file collection, assign a unique Record ID, and complete the applicable department, custodian, storage, date, hold, and disposition fields. Review the calculated Retention Months, Retention End Date, Rule Match, Data Quality Alert, Tracking Status, and Next Action Date columns without overwriting their formulas. Resolve duplicate IDs, incomplete information, unmatched or inactive rules, and missing dates before relying on the results. When an authorized disposition is completed, record its status, date, and method. Eligible for Review is a prompt for organizational review, not automatic authorization to destroy or transfer a record.

Student Records Retention Inventory in Excel
The Records sheet provides 250 prepared rows for tracking record groups or bounded file collections. Teams can enter a unique Record ID, a non-identifying Learner Reference, Record Type, Program or Department, Custodian, Storage Format, Storage Location, relevant dates, hold details, disposition details, and Notes. Initial populated rows are fictional samples, while the remaining prepared rows support operational entry. Formula columns supply the matched retention period, calculated retention end date, rule result, data-quality alert, tracking status, and next action date.

Retention Date and Review Window Monitoring
For a populated record with a trigger date and a matched retention period, the workbook calculates the retention end date as the applicable month-end date. The Dashboard compares record results with the selected as-of date and a review window from 1 to 365 days. It reports records that remain retained, are approaching review, have become eligible for review, are incomplete, or have completed disposition. These calculations depend on accurate inputs and approved retention settings.
Hold Review and Disposition Tracking
The template tracks whether a record is on hold and, when applicable, its hold review date. Calculated status distinguishes On Hold from Hold Review Overdue, while Next Action Date uses the hold review date for held records with complete information. Disposition fields support Active, Pending Approval, Approved for Destruction, Destroyed, and Transferred to Archive statuses, plus a disposition date and method. The workbook records operational status but does not authorize hold release, destruction, or archive transfer.

Retention Rule Governance and Data-Quality Checks
The Retention Rules sheet includes 20 prepared rows for record types, trigger events, retention months, default actions, rule owners, statuses, and internal notes. Its checks identify duplicate record types and active rules missing months or trigger events. The Dashboard separately counts duplicate Record IDs, unknown Record Types, inactive assignments, and missing operational dates. Every supplied rule is a fictional placeholder and must be replaced or confirmed through an authorized internal review before the calculations are used operationally.
Common questions
About this template
The tblRecords table contains 250 prepared data rows, running from row 2 through row 251. Some initial rows are populated with fictional examples that demonstrate the workbook structure; they are not actual student records.
Yes. When a populated record has a Trigger Date and a Retention Months value matched from the Retention Rules table, the formula calculates the Retention End Date as the end of the applicable month.
The calculation is only as reliable as the entered trigger date and the internally approved rule assigned to that record type.
Yes. The Records sheet includes Hold Status and Hold Review Date fields. Its calculated Tracking Status can identify On Hold and Hold Review Overdue records, and Next Action Date uses the hold review date while an otherwise complete record is on hold.
The workbook does not authorize release from a legal, administrative, or other organizational hold.
The Rule Match formula can return Rule Not Found when no matching record type exists, Rule Inactive when the matched rule is inactive, or Record Type Missing when that field is blank on a populated row. The Dashboard counts unknown record types and inactive rule assignments for follow-up.
No. The Retention Rules sheet explicitly identifies its entries as fictional placeholders. Review, replace, or confirm every retention period, trigger event, default action, rule owner, and status through your organization’s authorized records-review process before operational use.
No. Eligible for Review means the retention end date is on or before the selected as-of date, or that disposition has been approved but not completed. It is a review status, not automatic authorization to destroy or transfer a record.
Complete the appropriate organizational review and approval process before recording destruction or archive transfer.
