This free Applicant Document Completion Tracker Excel template helps admissions and course operations teams monitor applicant documents and file readiness for 2026. Enter one applicant per row, update six document statuses and received dates, and use the calculated completion percentage, open document count, days to start, and alert to identify follow-up priorities.

The four-sheet workbook includes 200 prepared applicant rows, configurable requirements for four programs, validated input lists, instructions, dashboard summaries, and two charts. Populated applicant records are samples within the prepared tracking area and should be replaced or removed before operational use.

In practice

What this template helps you manage

  • Track up to 200 applicants in prepared operational rows 6–205 of the Applicant Tracker.
  • Monitor six document categories: application form, identity verification, transcript, resume, recommendation, and prerequisite proof.
  • Calculate each applicant’s required documents, completed documents, completion percentage, open document count, days to start, and alert.
  • Configure document requirements separately for four programs using 1 for required and 0 for not required.

How to use it

How to use the workbook

Set the As of Date in Dashboard cell B2, then review the Lists sheet before entering operational records. Confirm the four configured programs and mark each of the six document requirements with 1 for required or 0 for not required. In the Applicant Tracker, add one applicant per row and enter a unique Applicant ID of no more than 20 characters. Select the program, cohort, owner, application status, and document statuses from the supplied lists. Enter received dates when documents are received, accepted, or returned for revision. Review the calculated fields in columns U through Z, including Completion %, Open Document Count, Days to Start, and Alert; do not overwrite those formulas or the requirement lookups in columns AC through AH. Use the table filters for detailed follow-up and return to the Dashboard for active-applicant metrics, program summaries, alert counts, and charts. Replace or remove the populated sample applicants before operational use.

Track Applicant Documents in One Excel Workbook

The Applicant Tracker provides one prepared row per applicant for identity, program, cohort, ownership, application timing, and document progress. Teams can update statuses and received dates for six document categories while formulas calculate required and complete totals. Accepted and Waived statuses count as complete; Received does not count as complete until review is finished. The workbook is designed to record processing status only, not document numbers, document contents, or document images.

Calculate Completion from Program Requirements

The Lists sheet contains a requirement table for four configured programs: Allied Health Foundations, Business Operations Certificate, IT Support Academy, and Early Learning Workshop. Each program uses 1 or 0 settings to identify whether the application form, identity verification, transcript, resume, recommendation, and prerequisite proof are required. Applicant-level formulas retrieve these settings and calculate completion based only on the selected program’s required documents. Changing a program rule affects every applicant assigned to that program.

Prioritize Incomplete Files Before Start Dates

The workbook compares each Target Start Date with the As of Date entered on the Dashboard. Applicant-level alerts distinguish complete files, outstanding documents, revision requests, cases due within 14 days, past-due files, missing target dates, program configuration issues, and applications that are closed because they were declined or withdrawn. These calculated outputs help users identify follow-up priorities without manually evaluating every document field.

Review Completion and Alerts on the Dashboard

The Dashboard displays active applicants, document-complete applicants, incomplete files, urgent or past-due cases, average completion, and needs-revision counts. Active calculations exclude Declined and Withdrawn applications. Program-level summaries show active applicants, average completion, and complete files, while an alert summary counts applicants by operational category. Two charts visualize average completion by program and applicant counts by alert category.
