In practice

What this template helps you manage

  • Standardize preliminary eligibility screening: Review GPA, prerequisite credits, tests, essays, references, and transcripts through a consistent application matrix rather than evaluating each file with an unstructured checklist.
  • Apply the correct criteria automatically: Each application is connected to criteria for its selected Program and Entry Term through a calculated criteria key. Matching rules can include thresholds, required materials, and test-waiver settings.
  • Separate failures from incomplete evidence: Calculated requirement checks distinguish Met, Not Met, Pending, Not Required, and Not Evaluated. The final matrix outcome distinguishes an unmet requirement from an application that is still missing required evidence.
  • Catch data and setup problems: Checks identify issues such as duplicate application IDs, missing programs or entry terms, missing submission dates, unavailable or inactive criteria, and criteria setup errors.

How to use it

How to use the workbook

Start on Criteria Setup and confirm the active requirements for every Program and Entry Term combination you plan to review. Maintain exactly one active criteria row for each combination, then resolve any message shown in Setup Check. On Eligibility Review, enter one application per row in the user-input fields: Application ID, optional Applicant Alias, Program, Entry Term, Submitted Date, GPA, Prerequisite Credits, Test Status, Test Score, Essay Status, References Received, Transcript Status, Reviewer Note, and Last Reviewed Date. Do not overwrite the calculated columns from Criteria Key through Eligibility Result. Review Data Check first, then inspect the individual requirement checks and calculated result. Resolve red and yellow alerts, add a concise operational note when useful, and enter the review date when the review is completed. Finally, use Dashboard totals, charts, program summaries, and alerts to monitor workload and exceptions. Replace or clear the fictional sample inputs before operational use while preserving formulas and prepared rows.

Standardize Admissions Eligibility Reviews in Excel

The admissions eligibility review matrix organizes application evidence into a consistent row-based workflow. Reviewers can record academic and document evidence, then read calculated checks for GPA, prerequisite credits, testing, essays, references, and transcripts. Because the workbook differentiates Met, Not Met, Pending, Not Required, and Not Evaluated, teams can see whether an application meets the matrix, fails a threshold, remains incomplete, or cannot yet be evaluated.

Maintain Program and Entry-Term Criteria

Criteria Setup centralizes the rules used by the review formulas. Each criteria row combines a Program and Entry Term and can define minimum GPA, minimum prerequisite credits, test rules, waiver eligibility, essay requirements, reference counts, and transcript requirements. The Setup Check helps identify missing settings and duplicate active criteria. Users should maintain exactly one active criteria row for each Program and Entry Term combination because changes affect every matching application row.

Track Admissions Workload and Exceptions

The Dashboard converts the review table into operational totals and program summaries. It counts Eligible, Not Eligible, Incomplete, and Needs Data applications, calculates completion rate, and highlights duplicate IDs. An overdue open review is an application submitted more than 14 days before the current date that remains Incomplete or Needs Data. Additional alerts help teams locate application and criteria rows that require correction.

Use the Matrix as a Preliminary Screening Tool

The calculated Eligibility Result supports preliminary screening and workflow management; it is not a final admission decision. Reviewers should verify source evidence, confirm that the matching criteria are current, resolve data-quality messages, and apply their institution's policies before making a final determination. The Instructions sheet also advises using aliases and avoiding sensitive personal information.
