In practice

What this template helps you manage

  • Keep waitlist records consistent: Track one applicant record per program and session using standardized fields for Applicant ID, minimized applicant name, dates, priority score, status, assigned staff, notes, and offer activity. Drop-down lists and field validations support more consistent entry.
  • Prioritize waiting applicants: Use the calculated Priority Tier and Waitlist Rank fields to organize applicants. Rank applies only to records with a Waiting status and compares applicants within the same program and session.
  • Identify follow-up needs: Deadline Alert highlights missing or time-sensitive review and offer-response dates, including overdue items, due-today offers, and deadlines due soon.
  • Monitor course capacity: Configure seat capacity by program and session, then use Dashboard metrics to compare accepted applicants with configured capacity and review available seats and capacity utilization.

How to use it

How to use the workbook

Begin on Lists & Settings by reviewing the priority thresholds, program and session lists, staff list, and offering configurations. Enter or update applicants on the Waitlist sheet using the blue input cells, and do not overwrite the gray calculated cells. Review Record Check until each completed record displays OK, then use Deadline Alert and Waitlist Rank to plan follow-up. Finally, select a Program and Session—or All—on the Dashboard to review waiting volume, offers, acceptances, data issues, and configured capacity. Update Last Updated Date manually whenever a record changes.

Included features and controls

200 prepared applicant rows: The tblWaitlist table spans A5:U205, providing 200 operational rows from row 6 through row 205. A small number of populated sample records are included; the remaining prepared rows retain their formulas and validations.
Comprehensive applicant fields: Editable fields include Applicant ID, Applicant Name, Program, Session, Application Date, Waitlist Date, Priority Score, Status, Offer Date, Response Due Date, Decision Date, Last Contact Date, Next Review Date, Assigned Staff, Notes, and Last Updated Date.
Five calculated waitlist outputs: Priority Tier, Waitlist Rank, Days Waiting, Deadline Alert, and Record Check are formula-driven fields. Days Waiting and rank apply to Waiting records under the conditions defined by the workbook formulas.
Configurable priority tiers: Priority Tier is calculated from Priority Score using editable High and Standard thresholds. The supplied settings use 80 as the High Priority Minimum and 50 as the Standard Priority Minimum, with scores below the standard threshold classified as Low.

Manage an Applicant Waitlist in Excel

The Waitlist sheet centralizes operational applicant details in one structured Excel table. Teams can record program and session placement, relevant dates, priority scores, current status, staff ownership, short notes, and offer activity while calculated fields provide consistent operational outputs.

Prioritize Applicants with Ranks and Deadline Alerts

For records marked Waiting, the workbook calculates rank within the same program and session. Priority Tier groups scores as High, Standard, or Low, while Deadline Alert identifies missing review dates, overdue reviews, upcoming reviews, missing response due dates, and time-sensitive offer responses.

Review Seat Capacity on a Filterable Dashboard

The Dashboard can show all configured offerings or filter results by Program and Session. KPI cards report waiting applicants, outstanding offers, accepted applicants, available seats, follow-up due, average waiting time, data issues, configured capacity, and capacity utilization. Available Seats equals configured capacity minus accepted applicants, with a minimum displayed result of zero.

Protect Data Quality with Validations and Checks

Input validation standardizes scores, dates, text lengths, statuses, programs, sessions, and staff names. Formula-based checks help identify incomplete or inconsistent applicant records and offering settings. The workbook instructions recommend using a preferred first name and last initial and excluding contact details, addresses, birth dates, government identifiers, health information, and financial information.
