In practice

What this template helps you manage

  • Anticipate enrollment pressure: Forecast enrollment from current enrollment, expected adds, and expected drops so teams can review likely demand before a planning checkpoint.
  • Compare demand with practical limits: Track both Hard Capacity and Planned Capacity. The workbook uses the lower value as Effective Capacity, providing a consistent basis for utilization and remaining-seat calculations.
  • Focus reviews on urgent sections: Automatically identify Data Issue, Over Capacity, and Waitlist Pressure rows with a Yes attention flag, then view the selected term's attention count on the Dashboard.
  • Evaluate performance by program: Use the Dashboard to compare section counts, effective capacity, current enrollment, forecast enrollment, utilization, waitlists, and attention sections across the populated program list.

How to use it

How to use the workbook

Start on the Setup sheet and review the Near Capacity and Underfilled thresholds, along with the lists used by the workbook's dropdowns. Next, select a planning term on the Dashboard and enter or update one section per row on the Section Plan sheet. Complete the editable fields for section identity, schedule, Hard Capacity, Planned Capacity, Current Enrollment, Waitlist, Expected Adds, and Expected Drops. Review the calculated Effective Capacity, Forecast Enrollment, Seats Remaining, Forecast Utilization, Status, and Attention Flag. Filter the section table to resolve Data Issue, Over Capacity, and Waitlist Pressure records, return to the Dashboard to review term and program results, and update the Last Reviewed date when the review is complete.

Inside the file

Included features and controls

Four purpose-built worksheets: The workbook contains Dashboard, Section Plan, Setup, and Instructions sheets.
Term-level KPI dashboard: The Dashboard reports Active Sections, Effective Capacity, Current Enrollment, Forecast Enrollment, Forecast Utilization, Open Forecast Seats, Total Waitlist, and Sections Needing Attention for the selected term.
Program and status reporting: Program summaries show sections, effective capacity, current and forecast enrollment, forecast utilization, waitlist, and attention sections. A separate summary counts Data Issue, Over Capacity, Waitlist Pressure, Near Capacity, On Track, and Underfilled sections.
Two dashboard charts: One chart compares Effective Capacity and Forecast Enrollment across the eight populated program rows. The other displays section counts across the six listed statuses.

Forecast Enrollment at the Section Level

The enrollment capacity planner separates user-entered assumptions from calculated results. Users enter Current Enrollment, Expected Adds, and Expected Drops, while Forecast Enrollment is calculated as current enrollment plus expected adds minus expected drops, with a minimum of zero. This provides a repeatable estimate for each populated section without treating the workbook's sample records as actual institutional data.

Compare Planned Seats with Hard Capacity

Hard Capacity represents the maximum allowed by the room, delivery setup, or operational limit, while Planned Capacity represents the enrollment target currently offered. Effective Capacity is calculated as the lower of these two values. Seats Remaining then subtracts Forecast Enrollment from Effective Capacity, and Forecast Utilization divides Forecast Enrollment by Effective Capacity.

Monitor Waitlists, Capacity Risk, and Data Quality

The workbook applies a prioritized status to each populated section. Data Issue identifies missing or inconsistent required information. Over Capacity indicates that forecast enrollment exceeds effective capacity. Waitlist Pressure identifies a section that is currently full and has a waitlist. Other valid rows can be categorized as Near Capacity, On Track, or Underfilled based on the editable thresholds.

Review Course Capacity by Term and Program

The Dashboard summarizes one selected term at a time. It displays eight headline metrics, program-level results, six status counts, and two charts. The Selected Term field uses the term list on Setup, while the Last Reviewed field accepts dates from January 1, 2025, through December 31, 2035. Fall 2026 and September 6, 2026, are populated sample values rather than fixed operational requirements.
