In practice

What this template helps you manage

  • Centralize registration hold cases in one structured Excel table with 500 prepared operational rows.
  • Give each hold a unique case ID, learner alias, priority, owner, status, target date, and documented next action.
  • Focus operational reviews on overdue, due-soon, critical, unassigned, inactive, or incomplete cases.
  • Standardize key entries with dropdown lists for program, delivery site, hold category, hold type, priority, owner, status, and resolution outcome.

How to use it

How to use the workbook

Set the Dashboard As of Date to the date of your operational review, then adjust the Due Soon Window and Inactive Follow-Up Threshold if needed. On Hold Tracker, enter one registration hold per row and use a unique Case ID in the RH-#### format. Complete the editable case fields and select controlled values from the dropdown lists. After each meaningful follow-up, update the Last Action Date, Next Action Date, and Next Action. When a case is resolved, set its status to Resolved and enter the Resolution Date and Resolution Outcome. Review the Dashboard metrics and alerts, then filter the Hold Tracker table by Review Alert, Target Status, owner, status, priority, or another available field. Replace or clear the populated sample inputs before operational use while preserving the calculated columns.

Manage Registration Holds in One Operational Tracker

The Hold Tracker provides one prepared row for each registration hold case. Teams can record a Case ID, learner alias, program, delivery site, hold category and type, priority, owner, status, important dates, next action, resolution details, and brief workflow notes. The sheet includes 500 prepared operational rows, and its populated examples illustrate data entry rather than representing additional capacity.

Prioritize Overdue Holds and Required Follow-Up

Calculated fields evaluate populated records against the Dashboard As of Date. Target Status distinguishes Closed, No Target Date, Overdue, Due Soon, and On Track cases. Follow-Up Alert identifies active cases with a past Next Action Date or a Last Action Date that exceeds the configured inactivity threshold. The consolidated Review Alert helps teams focus on Data Issue, Critical, Overdue, Follow-Up Needed, and Unassigned records.

Monitor Registration Hold Resolution Workload

The Dashboard summarizes active holds, overdue cases, due-soon cases, high-priority active work, unassigned active cases, required follow-up, cases resolved during the As of Date month, and average active age. Status and hold-category summaries, operational messages, and two charts support recurring workload reviews without requiring users to build separate formulas.

Improve Case Consistency and Data Quality

Controlled dropdowns standardize frequently used fields, while Case ID validation checks the RH-#### format and uniqueness within the prepared range. Additional formulas compare each hold type with its mapped category and identify missing or logically inconsistent information. These checks support operational review but do not replace official institutional systems or policies.
