In practice

What this template helps you manage

  • Keep requests in one structured log: Maintain one row per request with its course, section, term, request type, dates, reason, submitter, approval information, status, assignee, and resolution note.
  • Connect requests to applicable deadlines: The workbook matches each selected Term and Request Type to the deadline table in Settings, then calculates submission timing and days to deadline.
  • Prioritize open work: Calculated fields identify whether a request is open or closed, measure request age, recommend a next action, and surface deadline or processing alerts.
  • Monitor operations from a dashboard: Review request volume, open work, approaching and missed deadlines, approval queues, completed requests, on-time submission rate, average days open, and records needing data review.

How to use it

How to use the workbook

Begin on the Settings sheet by confirming the As of Date and reviewing the deadline table for each applicable Term and Request Type combination. Avoid duplicate deadline rules for the same combination. Next, enter one request per row in the gold input cells on the Request Log, using a unique Request ID in the ADR-2026-#### format and a non-identifying Learner Reference. Complete the applicable request, course, approval, ownership, status, and date fields. Do not overwrite the gray calculated columns from Q through Z. Review Next Action, Alert, Required Fields Check, Duplicate Check, and Record Review as work progresses. When a request closes, select Completed, Denied, or Canceled and enter its Completed Date. Update the As of Date as needed, then use the Dashboard to monitor workload, deadlines, approvals, completion, timeliness, and data-review issues.

Included features and controls

Four purpose-built worksheets: The workbook includes Dashboard, Request Log, Settings, and Instructions sheets.
150 prepared request rows: The tblRequests table spans A4:Z154. Rows 5 through 154 are prepared for operational use, with formulas already present in calculated columns Q through Z.
Sixteen user-entry fields: Enter Request ID, Learner Reference, Request Date, Term, Course Code, Section, Request Type, Requested Effective Date, Reason Category, Submitted By, Approval Required, Approval Status, Status, Assigned To, Completed Date, and Resolution Note.
Ten calculated output fields: The Request Log calculates Applicable Deadline, Submission Timing, Days to Deadline, Request Age, Open or Closed, Next Action, Alert, Required Fields Check, Duplicate Check, and Record Review.

Track Add, Drop, and Withdrawal Requests in Excel

Use the Request Log as a central course-change register with one row per request. Input fields capture the identifying reference, submission date, term, course, section, request type, requested effective date, reason, submitter, approval details, workflow status, assigned staff member, completion date, and resolution note. The included records are fictional examples rather than operational data.

Calculate Deadlines, Timing, and Request Age

Each request can be matched to an Applicable Deadline through its selected Term and Request Type. The calculated fields evaluate whether submission was on time, show days to deadline, and measure request age using the Settings As of Date. If no matching deadline exists, the workbook leaves the applicable deadline blank and can return a Deadline Missing alert.

Manage Approval and Processing Workflows

Status choices cover Submitted, Under Review, Awaiting Approval, Approved, Completed, Denied, and Canceled. Approval Required and Approval Status work with calculated checks to expose approval mismatches. Next Action provides workflow guidance, while Open or Closed classifies Completed, Denied, and Canceled requests as closed.

Review Course Operations on the Dashboard

The Dashboard provides an operational view of request volume, open work, deadlines, approvals, completion, submission timeliness, aging, and data-review needs. Summary tables break out Add, Drop, and Withdrawal requests, workflow statuses, and alert categories. Two charts visualize total requests by request type and counts by status.
