In practice

What this template helps you manage

  • Centralize admissions records: Maintain one row per application with fields for the applicant alias, program, term, delivery site, reviewer, priority, deadlines, decision, notification, response, deposit, enrollment status, last review date, and notes.
  • Monitor decision workload: Use Dashboard metrics for Total Applications, Awaiting Decision, Overdue Decisions, Decisions Made, Admits, Admission Rate, Average Days to Decision, and Records Needing Action.
  • Focus reviews with filters: Analyze records as of a selected date and filter Dashboard results by Program, Term, or Reviewer. Each filter includes an All option.
  • Surface operational follow-up: Use calculated Record Check and Action Alert outputs to find data issues, overdue or upcoming decisions, notification work, notification delays, and applicant-response follow-up.

How to use it

How to use the workbook

Start on the Instructions sheet, then enter one application per row in the Decision Register and assign a unique Application ID and applicant alias. Complete the applicable input fields in columns A through S, using the available drop-down lists and date validations. Update Decision, Decision Date, Notification Date, Applicant Response, Response Date, Deposit Received Date, Enrollment Status, Last Reviewed, and Notes as work progresses. Do not overwrite columns T through X because they calculate Days to Decision, Notification Lag, Days Pending, Record Check, and Action Alert. Before relying on Dashboard totals, review Record Check and Action Alert for data or workflow issues. On the Dashboard, set the As of Date, select Program, Term, and Reviewer filters, and adjust the Due Soon Window, Response Follow-Up Days, and Notification Target Days when needed.

Configurable dashboard controls: The Dashboard includes an As of Date, Program filter, Term filter, Reviewer filter, Due Soon Window from 0 to 60 days, Response Follow-Up Days from 1 to 90, and Notification Target Days from 0 to 30.

Review admissions metrics with a filterable dashboard

The Dashboard uses formulas tied to the Decision Register table. Teams can review application volume, pending and overdue decisions, completed decisions, admits, admission rate, average decision time, and records needing action. Results respond to the selected As of Date and optional Program, Term, and Reviewer filters.

Find incomplete records and time-sensitive actions

Record Check returns the first detected completeness or sequencing issue, including duplicate Application IDs and missing information tested by the formula. Action Alert then categorizes workflow needs such as fixing a record, completing an overdue or upcoming decision, sending a notification, addressing a notification delay, or following up on an applicant response.

Use validated lists for consistent Excel data entry

Drop-down validations standardize common admissions values. The included choices cover Applied Data Foundations, Healthcare Office Essentials, Skilled Trades Bridge, Business Operations Certificate, four academic terms, four delivery sites, three priorities, four reviewers, five decision outcomes, four applicant-response values, and five enrollment-status values. The Settings & Lists sheet advises keeping lists contiguous and updating the related validation source if values are added.
