In practice

What this template helps you manage

  • Keep interview operations in one table: Record one row per interview with candidate details, program, interview round, status, date, start time, duration, interviewer, modality, invitation status, outcome, follow-up, notes, and last-updated date.
  • Identify overlapping interviewer assignments: The calculated Conflict Check flags overlapping, non-canceled appointments assigned to the same interviewer on the same date. Back-to-back interviews are allowed.
  • Focus on records requiring action: The calculated Action Alert can surface missing schedule details, conflicts, past appointments needing status updates, missing outcomes, overdue follow-up, and invitations that need to be sent.
  • Standardize scheduling data: Dropdown lists control programs, interview rounds, statuses, interviewers, modalities, invitation statuses, outcomes, and follow-up statuses. Additional validations govern Interview IDs, dates, start times, and durations.

How to use it

How to use the workbook

Start on the Dashboard and enter a report start date and end date between January 1, 2026 and December 31, 2028. On Lists & Settings, select the single scheduling time zone that will apply to every appointment. Then use the Interviews sheet to enter one row per interview, assigning a unique Interview ID and completing the candidate, program, interview round, and status fields. Scheduled and confirmed interviews also need their date, start time, duration, interviewer, and modality entered. Review the calculated End Time, Interviewer Team, Conflict Check, and Action Alert columns before sending invitations or finalizing assignments. As interviews progress, update Invitation Status, Outcome, Follow-Up Due, Follow-Up Status, Scheduling Notes, and Last Updated. Use the Interviews table filters to find records by date, action alert, status, program, interviewer, or another field, and return to the Dashboard to review summary metrics and charts.

Included features and controls

Four purpose-built worksheets: The workbook contains Dashboard, Interviews, Lists & Settings, and Instructions sheets.
250 prepared operational rows: The InterviewsTable spans A4:V254 and provides 250 prepared rows below its header. Ten rows contain populated sample records; the remaining prepared rows are available for operational entry.
Twenty-two interview columns: The Interviews sheet includes 18 user-entry fields and four calculated outputs: End Time, Interviewer Team, Conflict Check, and Action Alert.
Automatic end times: End Time is calculated from Start Time and Duration (Minutes). Valid start times run from 7:00 AM through 9:00 PM, and duration accepts whole numbers from 15 through 240.

Coordinate admissions interview scheduling from proposal through follow-up

The Interviews table supports six appointment statuses: Proposed, Scheduled, Confirmed, Completed, Canceled, and No-Show. Each record can connect candidate and program information with the interview round, appointment details, invitation status, outcome, follow-up due date, and follow-up status. This structure gives admissions operations teams a consistent place to maintain the scheduling workflow without treating populated samples as additional capacity.

Detect interviewer scheduling conflicts before finalizing appointments

Conflict Check evaluates the interviewer, interview date, start time, calculated end time, status, and Interview ID. It identifies overlapping non-canceled appointments assigned to the same interviewer on the same date while permitting back-to-back sessions. The related Action Alert can display Resolve conflict so affected records are easier to locate with the table filters.

Build an actionable admissions interview work queue

Action Alert evaluates each populated record for documented conditions. It can report Missing schedule details, Resolve conflict, Past interview—update status, Record outcome, Follow-up overdue, or Send invitation. Records without a current exception can return Ready, No action, or Canceled as appropriate. The Dashboard Needs Action metric excludes Ready, No action, Canceled, and blank alert results.

Review interview volume with date-based Excel reporting

Dashboard report dates control Total Interviews, Confirmed, Completed, Completion Rate, status counts, status shares, and program counts. Upcoming 7 Days is separate: it counts non-canceled interviews from today through seven days from today. Conflicts counts every Conflict result in the prepared interview table, while Needs Action counts populated records with actionable alert values. Two charts visualize status and program interview counts.
