How to use it
How to use the workbook
Begin on the Course Sessions sheet by entering each session and assigning a unique Session ID. Add its title, dates, times, delivery format, location or meeting details, capacity, fee, coordinator, and status in the editable cells. Next, enter one participant registration per row on the Registrations sheet. Select the relevant Session ID from the validated list so the course title, delivery format, dates, and fee populate through formulas. Maintain each Registration Status as Enrolled, Waitlisted, Completed, Canceled, or No-show, and enter a Completion Date only when the status is Completed. Review red Data Check cells on both operational sheets before relying on the Dashboard. The Dashboard updates when Excel recalculates and reports activity using the workbook's prepared ranges.

Track course registrations and participant statuses
The Registrations sheet provides one row for each participant and session combination. Enter identifiers, participant display name, organization, Session ID, registration date, registration status, completion date, and operational notes. A validated status list supports Enrolled, Waitlisted, Completed, Canceled, and No-show records. The sheet is prepared for 200 registration rows and includes filters for reviewing the list.

Manage course sessions, capacity, and waitlists
The Course Sessions sheet holds schedules and capacity settings for up to 100 prepared session rows. Enter dates, times, delivery format, meeting details, capacity, fee, coordinator, and session status. Formulas count Enrolled and Waitlisted registrations by Session ID. Open Seats equals Capacity minus Enrolled Count and never displays a negative number, although the Data Check field can still flag enrollment that exceeds capacity.
Review course registration dashboard metrics
The Dashboard reports total registrations, Enrolled and Waitlisted counts, Open sessions starting from today through the next 30 days, and the open seats attached to those sessions. It also reports a recorded completion rate calculated as Completed divided by Completed plus No-show. The result is blank when there is no usable denominator. Two charts summarize registration status and Enrolled registrations by delivery format.

Find incomplete or inconsistent records
Calculated Data Check columns on Registrations and Course Sessions help identify rows that require review. The visible formula logic includes missing and duplicate ID checks, along with additional checks for incomplete or inconsistent entries. Applicable messages are combined in the Data Check cell, alert cells are highlighted in red, and the Dashboard counts affected rows on both sheets.
Common questions
About this template
The Registrations table contains 200 prepared operational rows, from row 5 through row 204. The workbook also includes 100 prepared Course Sessions rows, from row 5 through row 104.
After you select a valid Session ID, formulas return the Course Title, Delivery Format, Start Date, End Date, and Course Fee from the Course Sessions sheet. The registration Data Check field is also formula-driven.
Open Seats equals the session Capacity minus the number of registrations marked Enrolled. The formula uses a minimum result of zero, so it does not display a negative number. A separate Data Check can still flag a session when Enrolled Count exceeds Capacity.
No. Only registrations with the Enrolled status are included in Enrolled Count. Waitlisted, Completed, Canceled, and No-show records do not consume current open seats. Waitlisted registrations are reported separately in Waitlist Count.
The Dashboard shows total registrations, Enrolled and Waitlisted counts, Open sessions and Open seats in the next 30 days, recorded completion rate, and counts of session and registration rows with alerts. It also includes two charts covering registration status and Enrolled count by delivery format.
No. The included people, organizations, locations, sessions, and registration records are fictional examples. Replace them with the minimum operational information needed, avoid sensitive details in Notes, and store the workbook in an access-controlled location appropriate for your organization.
