In practice

What this template helps you manage

  • Keep enrollment work in one structured tracker: Record student identifiers, names, application details, programs, delivery methods, campuses, start terms, intended start dates, assigned owners, enrollment statuses, documents, milestone dates, next actions, and notes.
  • Prioritize follow-up activity: Use calculated alerts to distinguish overdue actions, actions due soon, records that are on track, active records missing a next-action date, and closed records.
  • Monitor progress toward registration: Review Dashboard metrics for the active enrollment pipeline, admitted students awaiting confirmation, confirmed students awaiting registration, registered students, upcoming starts, and open records missing documents.
  • Improve data consistency: Select standardized values from validated lists for programs, delivery methods, campuses, start terms, enrollment owners, enrollment statuses, document completion, and orientation statuses.

How to use it

How to use the workbook

Start by setting the as-of date on the Dashboard. Review the populated sample records, then enter one student per row in the Enrollment Tracker, which has prepared operational rows from 2 through 121. Use the dropdown lists for standardized fields and update Last Contact Date, Next Action, and Next Action Date after each interaction. Review the Follow-Up Alert and Record Check columns before outreach, and use the Dashboard to monitor pipeline counts and records requiring attention. If needed, adjust Follow-Up Window Days or Upcoming Start Window Days on Lists & Settings. Dashboard results update when Excel recalculates.

Included features and controls

Four purpose-built worksheets: The workbook contains Dashboard, Enrollment Tracker, Lists & Settings, and Instructions sheets.
120 prepared enrollment rows: The Enrollment Tracker covers rows 2 through 121 and is formatted as an Excel table named tblEnrollment with filters and a frozen header row. Populated sample records are included to demonstrate use.
Twenty user-entry fields: Track Student ID, Preferred Name, Last Name, Application Date, Program, Delivery Method, Campus, Start Term, Intended Start Date, Enrollment Owner, Enrollment Status, Documents Complete, Admission Date, Confirmation Date, Orientation Status, Registration Date, Last Contact Date, Next Action, Next Action Date, and Notes.
Three calculated fields: Days to Start compares the intended start date with the Dashboard as-of date. Follow-Up Alert classifies follow-up timing. Record Check evaluates populated rows for duplicate IDs and missing information.

Track the new student enrollment pipeline from application to closure

The Enrollment Tracker supports seven defined stages: Application Received, Review, Admitted, Confirmed, Registered, Withdrawn, and Denied. Teams can connect each status with application, admission, confirmation, orientation, and registration details while maintaining an assigned enrollment owner and intended start date for every populated record.

Manage follow-ups with date-based Excel alerts

The calculated Follow-Up Alert uses the Dashboard as-of date, each student's Next Action Date, and the Follow-Up Window Days setting. Active records are classified as Missing Date, Overdue, Due Soon, or On Track. Registered, Withdrawn, and Denied records return Closed. The default follow-up window is 7 days and can be set from 1 to 30 days.

Review enrollment readiness on a formula-driven dashboard

The Dashboard summarizes pipeline volume, milestone gaps, registration progress, overdue work, missing follow-up dates, upcoming starts, missing documents, and records needing review. Status and program summaries also supply two charts. The user controls the as-of date, and the Dashboard updates from the Enrollment Tracker when Excel recalculates.

Standardize course enrollment data without overstating capacity

The tracker provides 120 prepared operational rows, including populated samples that illustrate the workflow. Dropdown validations cover configured programs, delivery methods, campuses, start terms, owners, statuses, document completion, and orientation. Editing values on Lists & Settings does not automatically rename existing tracker entries.
