About this template
The Hold Tracker contains 500 prepared operational rows, from row 6 through row 505. The workbook includes populated sample records within those rows to demonstrate data entry and calculated results.
Users enter the Case ID, Learner Alias, Program, Delivery Site, Hold Category, Hold Type, Priority, Date Opened, Owner, Status, Target Resolution Date, Last Action Date, Next Action Date, Next Action, Resolution Date, Resolution Outcome, and Notes.
The workbook calculates Active Flag, Days Open, Days Since Last Action, Age Band, Target Status, Follow-Up Alert, Type-Category Check, Data Quality Check, and Review Alert.
An active case is classified as Overdue when its Target Resolution Date is earlier than the Dashboard As of Date. It is classified as Due Soon when its target date falls from the As of Date through the configured due-soon window. If an active case has no target date, it is classified as No Target Date.
An active case receives a Follow-Up Needed alert when its Next Action Date is earlier than the Dashboard As of Date. The alert also appears when a Last Action Date exists and the number of days since that action exceeds the Dashboard Inactive Follow-Up Threshold.
The Dashboard reports Active Holds, Overdue Holds, Due Soon, High-Priority Active, Unassigned Active, Follow-Up Needed, Resolved This Month, and Average Active Age. It also provides operational alerts, hold counts by status, active holds by category, and two charts based on those summaries.
No. The workbook instructions direct users to use learner aliases and operational case IDs and not to enter sensitive personal, financial, medical, or login information. Notes should remain brief and limited to workflow information.
