In practice

What this template helps you manage

  • Maintain student identifiers, contact details, program assignments, enrollment information, advisors, dates, delivery details, and brief operational notes in one Excel table.
  • Use 200 prepared operational rows from row 5 through row 204. Some rows contain populated samples, while the prepared rows include formulas and validation for continued use.
  • Standardize Program, Cohort, Enrollment Status, Advisor, Delivery Mode, and Location entries with dropdown lists maintained on Lists & Settings.
  • Automatically calculate Display Name, Days Since Engagement, Engagement Alert, and Data Quality Alert instead of entering those output fields manually.

How to use it

How to use the workbook

Begin on Lists & Settings by reviewing the As of Date, Engagement Review Days, and Record Stale Days. Update the available Programs, Cohorts, Enrollment Statuses, Advisors, Delivery Modes, and Locations if needed; the sheet instructs users to edit blue cells only. Next, open Student Roster and add or update one student per row in the input columns from Student ID through Notes. Use the supplied dropdowns for standardized fields and enter applicable dates between January 1, 2000, and December 31, 2100. Do not overwrite the calculated Display Name, Days Since Engagement, Engagement Alert, or Data Quality Alert columns. Review both alert columns, filter the roster to investigate issues, and update Record Updated Date whenever a record is reviewed or changed. Finally, use the Dashboard after checking the alerts so its enrollment, engagement, stale-record, and data quality totals are interpreted in the context of the underlying roster.

Manage a Structured Student Master Roster in Excel

The Student Roster sheet provides one operational row per student across 200 prepared rows. User-input fields cover Student ID, names, school email, program, cohort, enrollment status, start and expected end dates, advisor, delivery mode, location, last engagement date, record updated date, and notes. The workbook contains populated sample records to demonstrate the layout; these are examples rather than additional capacity and should be replaced with fictional or authorized operational data.

Monitor Enrollment and Student Engagement

The Dashboard uses formulas tied to the roster table to show record counts, active and pending students, active share, completed students, students on leave, withdrawn students, and active students missing an engagement date. It also summarizes enrollment status and active students by program. Engagement alerts classify Active students as Current, Review, or Missing Date according to the configured As of Date and Engagement Review Days; students not marked Active receive Not Applicable.

Review Data Quality and Stale Student Records

The calculated Data Quality Alert flags records requiring review for one or more required-field, duplicate, date, email, or update-date checks. The Dashboard counts populated student records with a Data Quality Alert other than OK. It also counts stale records when Record Updated Date is blank or older than the configured Record Stale Days threshold relative to the As of Date. These indicators support review workflows but do not correct source data automatically.

Configure Lists, Thresholds, and Operational Choices

Lists & Settings contains the engagement review threshold, stale-record threshold, reporting date, and values used by six roster dropdowns. The supplied sample lists include programs, cohorts, enrollment statuses, advisors, delivery modes, and locations. Changes to these settings affect applicable alerts, dashboard calculations, or available roster selections, so users should follow the sheet instruction to edit blue cells only.
