In practice

What this template helps you manage

  • Keep student communication preferences in a structured register with one current row per student reference ID.
  • Distinguish among Contact Allowed, Temporary Hold, and Do Not Contact before choosing a communication channel.
  • Record a preferred channel, an optional backup channel, and separate use settings for Email, Text Message, Phone Call, and Portal Mail.
  • Standardize entries with dropdown lists for programs, enrollment statuses, contact statuses, channels, contact windows, time zones, languages, preference sources, and staff owners.

How to use it

How to use the workbook

Start on the Instructions sheet, then open the Preference Register and search for the student reference ID before entering another row. Maintain one current row per student reference ID and set Overall Contact Status first. When contact is allowed, select one Preferred Channel and mark that same channel as Preferred in its corresponding channel-use field. If appropriate, select a different Backup Channel and mark it as Allowed. Complete the required student, program, language, date, source, and owner fields, adding an Operational Note only when needed. Review the calculated Next Review Date, Review Status, Record Check, and Attention Flag; resolve every Record Check error before relying on the row and review every record flagged Yes. Use the Dashboard for summary monitoring. Update Review Interval Days or Due Soon Window Days on Lists & Settings only when the operating schedule needs to change.

Staff can capture Student Display Name, Program, Cohort, Enrollment Status, Overall Contact Status, Preferred Channel, Backup Channel, Best Contact Window, Time Zone, Preferred Language, Preference Source, Staff Owner, and key dates. Document Permissions for Each Communication Channel

Overall Contact Status distinguishes Contact Allowed, Temporary Hold, and Do Not Contact. Separate fields for Email Use, Text Message Use, Phone Call Use, and Portal Mail Use can be set to Preferred, Allowed, Do Not Use, or Not Available. The Instructions sheet directs staff to choose one preferred channel when contact is allowed, mark that same channel as Preferred, and optionally choose a different backup channel marked Allowed. The register should be consulted before selecting a channel, but Contact Allowed does not replace staff judgment or organizational policy.

Monitor Review Dates, Errors, and Attention Flags

Next Review Date is calculated from Last Confirmed Date plus Review Interval Days. Review Status then classifies each populated record as Current, Due Soon, Overdue, or Not Scheduled by comparing that date with today and the configured due-soon window. Record Check identifies data-quality problems, including missing required fields, duplicate student reference IDs, and future dates. Attention Flag returns Yes when a record has an error, is Due Soon or Overdue, or has a Temporary Hold or Do Not Contact status.

Use the Dashboard for Course Operations Oversight

The Dashboard displays the current date, configured review interval, and due-soon window. Summary metrics cover registered students, active enrollment, Contact Allowed, Do Not Contact, overdue reviews, reviews due soon, record errors, and records needing attention. Additional summaries count Contact Allowed records by preferred channel and group records by review status. Two charts visualize the preferred-channel and review-status results entered in the register.
